This Payment & Refund Policy (“Policy”) governs all payments made to Carecon (“Company”, “we”, “our”, or “us”) through www.carecon.in (“Website”) in connection with medical conferences, Continuing Medical Education (CME) programs, workshops, corporate events, sponsorships, delegate registrations, and related services.
By making any payment to Carecon, you agree to be bound by this Policy.
1. Payment Terms
1.1 All registration fees, sponsorship fees, and service charges must be paid in full through authorized payment channels specified by the Company.
1.2 A registration or sponsorship shall be considered confirmed only upon:
Successful receipt of funds; and
Written confirmation issued by Carecon.
1.3 Carecon reserves the right to refuse or cancel registrations where payment authorization fails or is disputed.
1.4 All prices are exclusive of applicable taxes (including GST), unless explicitly stated otherwise.
2. Delegate Registration – Cancellation & Refund
2.1 Cancellation requests must be submitted in writing to:

2.2 Refund structure (corporate-safe model):
30 days or more before the event: 70% refund
15–29 days before the event: 40% refund
Less than 15 days before the event: No refund
2.3 Administrative charges, payment gateway fees, and applicable taxes are non-refundable.
2.4 Refunds, where applicable, shall be processed within 15–30 business days to the original payment method.
3. No-Show Policy
Failure to attend the event without prior written cancellation shall be treated as a “No Show.” No refunds or credits shall be issued.
4. Substitution Policy
4.1 Delegate substitution from the same organization may be permitted with prior written notice at least 7 days before the event.
4.2 Carecon reserves the right to approve or deny substitution requests.
5. Sponsorship & Exhibition Fees
5.1 Sponsorship, partnership, and exhibition fees are non-refundable once:
Sponsorship agreement is executed; or
Marketing deliverables have commenced; or
Sponsor branding has been published.
5.2 In the event of sponsor withdrawal, Carecon shall retain amounts necessary to cover committed expenses and marketing allocations.
5.3 Customized sponsorship agreements shall prevail over this Policy in case of conflict.
6. Event Modification, Postponement, or Cancellation
6.1 Carecon reserves the right to:
Modify event format (physical, hybrid, virtual)
Reschedule event dates
Change venue or speakers
Cancel the event due to operational or regulatory reasons
6.2 In case of postponement, registrations and sponsorships shall automatically transfer to the new date.
6.3 If the event is canceled by Carecon (excluding Force Majeure), registered delegates may be offered:
A full refund; or
Credit toward a future event.
6.4 Carecon shall not be liable for travel, accommodation, visa, or other external costs incurred by participants or sponsors.
7. Force Majeure
Carecon shall not be liable for cancellation, delay, or modification caused by circumstances beyond its reasonable control, including but not limited to:
Government restrictions
Regulatory orders
Public health emergencies
Natural disasters
Civil unrest
Technical system failures
In such cases, refunds may not be mandatory, and credit options may be provided at the Company’s discretion.
8. Compliance & Ethical Standards
For medical conferences and CME programs, sponsorships and participation must comply with:
Applicable medical council guidelines
Industry ethical codes
Pharmaceutical marketing regulations
Applicable Indian laws
Carecon reserves the right to decline sponsorships or registrations that may conflict with compliance standards.
9. Dispute Resolution
This Policy shall be governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of the courts located in New Delhi
